Refund Policy

Refund Policy:

If you are unable to attend camp, a refund can be provided less a $50 processing fee when a request is submitted up to 30 days prior to camp. Refunds requested within 29 days of the start of camp, or after camp has ended, will not be granted.  The camp is staffed based on the number of registered campers and staff changes cannot be made last minute.  Please ensure you can attend camp before registering. Circumstances that would allow for an exception to the 30 day policy are as follows:

  • Serious illness or injury of a host or player: You’ll be asked to provide a general statement from a physician/physical therapist/athletic trainer confirming that the host or player can’t travel/participate due to the illness or injury.
  • Government-mandated obligations including jury duty, travel restrictions, court appearances, and military deployment: You’ll be asked to provide a copy of the official notice dated after the reservation was booked, including the name of the person fulfilling the obligation.
  • Airport and road closures, and flight cancellations that make it impossible to travel to camp: This includes closures and cancellations caused by natural disasters like earthquakes or severe storms. You’ll be asked to provide a notice of the road closure, or notice of the airport closure, or documentation from the airline that the flight was canceled/did not allow you to make it to camp.

IMPORTANT: Active, the third party vendor for Vanderbilt Athletics Camps, charges a nonrefundable fee of five dollars for all camp registrations, and this fee will be charged regardless of whether the camper qualifies for a full refund of other camp fees. By signing up for camp, all registrants acknowledge that the $5 Active registration fee will not be refunded in any event once registration is complete.

Additionally, registration fees may be refunded in the event of camp cancellation or substantial rescheduling.
